Fantastical alternatives: what you can drop

The renewal email arrives, or the calendar feels heavier than the week it is supposed to organize, and the search for a Fantastical alternative begins. Most people start by lining up other calendar apps and comparing feature lists. That approach tends to fail, because Fantastical has dozens of features and almost nothing else matches all of them. The more useful question is narrower: which of those features did you actually lean on last week, and which of those does something already on your Mac or in your Google account handle?

This guide sorts Fantastical's features into three groups. The first group is already covered by macOS Calendar or Google Calendar. The second can be rebuilt with a little setup. The third has no clean stand-in. Once the sorting is done, it becomes obvious what can be dropped and what the next tool has to keep.

Start with last week, not the feature list

Fantastical began in May 2011 as a small menu bar app for the Mac. Today it runs on Mac, iPhone, iPad, Apple Watch, Apple Vision Pro, and Windows, and the comparison table on the Flexibits pricing page lists 45 Fantastical rows, not counting Cardhop, the bundled contacts app. Nobody uses all of them.

Open your calendar and scroll back seven days. For each day, note which of these happened:

• An event was typed as a sentence instead of filled into a form.
• A travel block or a time to leave alert appeared before a meeting.
• A personal appointment showed up as "Busy" on a work calendar without being copied by hand.
• A booking link went out to someone outside your company.
• A Join button started a video call.
• A duplicate meeting appeared once instead of twice.

This takes about ten minutes, and it replaces guesswork with a count. People often assume they depend on the natural language parser, then find that the feature doing the real work is calendar mirroring, running quietly in the background. The count also tells you where the risk sits when you switch. A feature used once a month can be dropped. A feature used several times a day needs a replacement before the subscription ends.

The counts map to decisions fairly directly:

One more factor belongs in the audit if a Windows PC is part of the week. The Flexibits pricing page marks travel time and time to leave alerts as coming soon to Windows, and the June 2026 mirroring announcement says Windows support is also coming. A person who plans on a Windows machine at work and a Mac at home is already living without those features for part of the day, which lowers the cost of dropping them.

What macOS Calendar already does

Apple's Calendar User Guide for macOS Tahoe 26 describes several capabilities that people often associate only with Fantastical.

Natural language entry. In macOS Calendar, clicking the add button and typing "Soccer Game on Saturday from 11am-1pm" creates the event. Apple's guide notes that "lunch" or "noon" starts an event at 12 p.m. and "dinner" or "night" starts it at 7 p.m. Holding the add button lets you pick a calendar other than the default.

Reminders. Selecting the Scheduled Reminders checkbox in the calendar list places timed reminders into the day grid and all-day reminders at the top. New reminders can be created from the same add button.

Travel time. Adding a location from the suggested list attaches a map, weather, and a time to leave alert based on traffic or transit. Two limits are worth knowing. Apple says you do not receive time to leave alerts for destinations more than 3 hours away, and travel time does not update automatically when the location changes.

Focus filters. In System Settings, a Focus can include a Calendar filter that shows only chosen calendars, and limits notifications to them. A Work Focus that shows only the work calendar gets close to what Fantastical's automatic calendar set switching does by time or location.

If the audit shows that these were the features in use, the paid tier was mostly buying a nicer interface for things macOS already provides.

What can be rebuilt with Google Calendar

Some Fantastical features have no direct twin in macOS Calendar but can be reconstructed with Google Calendar in a browser.

Booking links. Fantastical calls these Openings. Google Calendar's version is the appointment schedule. According to Google's help center, a personal Google Account can create a single booking page. Google's comparison page places automatic email reminders and checking availability across multiple calendars in the columns for eligible plans such as Google One Premium and Workspace Individual. Schedules can only be created from a computer browser, not from the Android or iPhone app. Google's older appointment slots stopped taking new bookings on August 7, 2024.

Fantastical has kept adding to Openings. Version 4.1.17, announced in July 2026, lets one Openings link offer several durations, such as 20, 40, or 60 minutes. A later update added caps on how many meetings can be booked per day, week, or month. If a single link with several lengths, or a weekly cap, is part of how you protect focus time, test whether the replacement can do the same before relying on it.

Time zones. Google Calendar can show a secondary time zone and a world clock. Fantastical's July 2026 update added extra time zone columns to Day and Week view, up to 6 time zones on Mac and 3 on iOS. People who schedule across several regions every day will notice the difference. People who check one other zone occasionally will not.

Calendar groups. macOS Calendar can group calendars, but Apple's guide limits groups to calendars in the On My Mac section. Calendars stored in iCloud or Google accounts cannot be grouped, so switching views means using checkboxes. Command-clicking any checkbox shows or hides every calendar at once, which covers the common "show everything, then narrow down" pattern.

Email to event. Fantastical's email forwarding is a Premium feature. Apple's guide notes that events written in natural language can be detected in Mail, Safari, and other apps, which covers part of the same job with one extra click per event.

What has no clean stand-in

The third group contains features that do not appear anywhere in the macOS Calendar guide's table of contents, and that the Google Calendar help pages cited above do not describe.

Calendar mirroring. This copies events from one calendar to another, usually personal to work, so colleagues see a blocked slot. Flexibits describes the privacy side this way:

The mirrored range always includes the past two weeks, plus a future window. That window is 2 weeks on the free tier and 6 months on Premium. Rebuilding this by hand means editing two calendars every time a dentist appointment moves.

Combining duplicates and hiding events. When the same meeting arrives through two accounts, Fantastical can show it once. It can also hide events from shared calendars on your screen only. Both are Premium.

Conference link detection. As of September 2026, the pricing page lists 38 services whose links Fantastical detects to show a Join button, from Zoom and Google Meet to Microsoft Teams, Webex, and Slack Huddle.

Meet With. Added in June 2026 for Mac and iOS, it overlays a colleague's availability next to yours. It respects the permissions set by your organization. Whether you need it depends on whether your company's calendar service already shows free and busy times.

Reading events from images. Released September 10, 2026. On a Mac, dropping a screenshot, photo, or PDF onto the main window extracts every event it finds. Flexibits says uploaded data is deleted immediately after processing.

If mirroring shows up several times in last week's audit, that is the feature to solve first. Everything else in this group is convenience. Mirroring prevents double bookings.

Check the connection before the features

Switching tools changes more than features. It changes how your accounts connect. Fantastical adds accounts directly: iCloud, Google, Exchange, Microsoft 365, Fastmail, Fruux, Meetup, Todoist, Webex, Zoom, and other CalDAV services. That path is separate from the accounts in macOS System Settings.

This matters most for Microsoft 365 users. In August 2026, Flexibits published Microsoft's timeline for retiring Exchange Web Services (EWS):

• October 1, 2026: Microsoft begins disabling EWS access by default for all users.
• April 1, 2027: EWS is permanently shut down.

Fantastical offers a Migrate to Microsoft Graph button under Settings, then Accounts. Each Microsoft 365 account needs to be migrated separately, on every device. Any alternative you consider faces the same deadline, so confirming that it syncs through Graph belongs on the checklist before anything else. Delegated and shared calendars from a manager or assistant also depend on how the account is connected, not on the app's feature list.

Dropping to the free tier instead of leaving

There is a middle option: keep Fantastical and stop paying. Flexibits prices have not changed since January 3, 2023. For US customers, Individual is $6.99 per month or $56.99 per year, which works out to about $4.75 per month. Family, for up to 5 people, is $10.49 per month or $89.99 per year. US prices exclude sales tax.

The free tier keeps account setup, natural language entry for events and tasks, notifications, full screen day through year views, map previews, and home screen widgets. It loses:

• Travel time and time to leave alerts
• Templates, custom event colors, and emoji badges
• Push sync, Apple Watch support, and email forwarding
• Conference link detection, the Join button, combining duplicates, and hiding events
• Openings, Proposals, and RSVP scheduling

Some limits shrink rather than disappear. You get one calendar set, one invitee per event, a three day weather forecast, and mirroring two weeks ahead.

Cancellation follows the FAQ. Premium stays active until the next billing date, and charges already billed are not refunded. Subscriptions started on the Flexibits website are managed from the Billing tab of your Flexibits Account. Subscriptions started in the App Store are managed through Apple. Anyone who bought Fantastical 2 outright keeps those features without a subscription.

What to change first
