Combining multiple calendars: how to decide what you need

Comparison pages for calendar tools tend to line up features: natural language entry, color coding, booking links, dark mode. Picking from that list works until the first real account gets connected. The company Google account asks for administrator approval. The iCloud calendar stops updating a month later. The merged view that looks right on the Mac is missing from the phone.

Each of those failures traces back to a constraint that could have been checked before any feature comparison. The useful order is to answer the questions that cannot be changed first, eliminate whatever fails them, and only then compare what is left. This guide sets out those questions and then applies them to three common setups.

Start with an inventory, not a shortlist

Before looking at any product, write down four things.

  • Accounts. Every calendar account in use: Google, Microsoft 365, Outlook.com, iCloud, anything else. Mark which are personal and which belong to an employer or school.
  • Who controls each one. A personal Gmail is controlled by its owner. A work Google or Microsoft account is controlled by an administrator, whatever the user's own preferences are.
  • Devices. Mac, iPhone, a Windows machine at the office, a shared family iPad.
  • Calendars, counted individually. Not accounts. One Google account often holds a work calendar, a side project calendar, a department calendar shared by someone else, and a holiday feed.

The last item is the one most often undercounted, and it matters because several services price by the number of calendars connected.

Question 1: which account types are in the mix?

Every route for combining calendars supports a specific set of providers. On official pages as of September 2026:

Count provider types rather than accounts. Three Google accounts are one type, and nearly every route handles them. One Google, one Microsoft 365, and one iCloud account are three types, and only a few routes cover all three. That single fact removes more options than any feature comparison will.

Question 2: does an administrator decide for any of these accounts?

A work account connects to outside tools only as far as its administrator allows.

In Google Workspace, administrators can mark each third party app as Trusted, Limited, restricted to specific Google data, or Blocked. For apps they have not configured, they choose between allowing any third party app, allowing only apps that request basic sign in information, or allowing none until configured. The first of those is the default. A blocked user sees either a custom message from the administrator or Google's default notice.

In Microsoft Entra ID, which sits under Microsoft 365, users by default can consent to apps for permissions that do not require administrator consent. Microsoft recommends restricting user consent to apps from verified publishers. Organizations that follow that recommendation, or turn user consent off, will block some tools that connect fine elsewhere.

There is no reliable way to read these settings from the user side. The practical test is to connect the work account during a trial. An administrator approval screen is the answer. Routing work events through a personal account to get around it may conflict with company policy, so it is better treated as not an option.

Question 3: is iCloud involved?

Apps not made by Apple connect to iCloud calendars with an app-specific password rather than the Apple Account password. Apple's support article sets three conditions: the account must use two-factor authentication, up to 25 app-specific passwords can be active at once, and every one of them is revoked automatically whenever the main Apple Account password is changed or reset.

That third condition is the one that decides routes. A third party service that syncs iCloud will stop the day the password changes, and depending on how clearly the service reports connection errors, the only symptom may be a family calendar that quietly stops changing. Routes that use Apple's own account setup, such as adding iCloud in macOS Calendar, are not affected.

For anyone with iCloud in the inventory, one trial step is worth the time: generate the app-specific password, connect, then revoke that password and see how quickly and how visibly the service reports the break.

Question 4: where will copies of events end up?

Routes differ in what travels where.

A desktop app reading accounts directly. macOS Calendar connects to each provider's server and keeps a local copy for display. Event content does not pass through an additional company.

A sync service. It holds ongoing permission to read one calendar and write to another. Blockers or copied events are stored in the destination account. Whether the service itself stores event data depends on the provider. OneCal's site, for example, states that it does not store or analyze calendar event data.

The part that affects the decision is the destination. If a personal event's title is copied into a work calendar, it becomes visible wherever that work calendar is visible, including to administrators and to colleagues it is shared with. Where workplace rules limit personal information in company systems, the ability to copy busy time without titles becomes a requirement rather than a preference.

It is also worth knowing how to undo access. Cancelling a service does not always revoke its permission. Google accounts have a page listing third party apps with account access, and Microsoft accounts have an equivalent. Trialing three services leaves three grants behind unless they are removed.

Question 5: which devices need the combined result?

Where the combining happens decides where the result shows up.

Combined on the device. Adding accounts to macOS Calendar produces a merged view on that Mac only. The iPhone needs its own account setup, and a Windows machine at work never sees it.

Combined in the accounts. A sync service writing blockers, or sharing that exposes free and busy time, changes the accounts themselves. Every device that opens those accounts sees the effect, and so does anyone checking availability.

A person who plans only on one Mac can combine on the device. A person who needs the same busy time visible on a phone and to colleagues needs something that changes the accounts.

Question 6: how is the price counted, and will the service still be there?

Pricing units differ. As of September 2026, OneCal is billed per user annually with tiers of 2, 5, and 50 calendars. CalendarBridge tiers are 2, 5, and 8 calendars, billed monthly or annually. Reclaim.ai's free Lite plan covers 2 connected calendars and 1 calendar sync. Laying the inventory count against those tiers often shows that a third calendar moves the plan up a level.

Continuity deserves the same attention as price, because a combining mechanism that stops affects every account connected to it. Four signals are worth checking on any provider's blog or announcements page: an end of service date, a pause on new sign ups, a change of owner, and a price revision. Reclaim.ai, for instance, announced on August 20, 2024 that it was joining Dropbox, and stated at the time that there were no planned changes to pricing or customer support. Both the ownership change and the stated policy are on the public record, which is exactly the kind of information to read before connecting accounts.

Applying the questions to three setups

Constraints narrow choices differently depending on the mix. Three common inventories show how.

Question 2 comes first here. If the organization restricts user consent, sync services may be out. Outlook on the web's personal calendars feature remains, and it covers exactly this pair: one Google account added to the work account, with only the personal primary calendar counting toward availability and colleagues seeing Tentative, Busy, or Away without details. The practical adjustment is to put anything that should block work time on that primary calendar.

Question 1 is easy for the Google side and harder once iCloud is included. Question 3 then decides. A service that syncs all four is possible, but a password change will break the iCloud part. A common split is to use a sync service or free/busy sharing across the three Google accounts, and to view the family iCloud calendar alongside them in a desktop app without syncing it anywhere.

The owner controls their own Workspace, so question 2 is answered on one side. Client accounts are controlled by the clients' administrators and are often locked down. Question 5 usually matters most, because the goal is for clients and staff to see accurate availability. That points toward writing busy time into the owner's own Workspace calendar from whichever client calendars can be connected, and accepting that some client calendars will need manual blocks.

The order of elimination

Once the questions are answered, cut the list in this order:

  1. Keep only routes that support every provider type in the inventory.
  2. Remove routes that a work account's administrator blocks.
  3. If iCloud is included, check how each remaining route handles a password change.
  4. Remove routes whose result does not reach the devices and people that need it.
  5. Compare what remains on where copies land and how the price is counted.

The first four steps depend on things that cannot be changed from the user's side. Price and features can be weighed freely. Filtering on fixed constraints first keeps the comparison short, and if nothing survives, the answer is usually two routes for two goals rather than one route for everything.

When to run the questions again

A choice that fit last year can stop fitting without anything breaking loudly. The constraints behind it move, and the calendar setup keeps running on assumptions that are no longer true. A handful of events are reliable signals that the inventory needs to be rewritten.

A new employer or a new client. A new work account brings a new administrator and possibly a new provider type. A setup built around two Google accounts may not survive the arrival of a Microsoft 365 account, and a client's consent policy can be stricter than the previous one.

A password change on an account used by a service. For iCloud this revokes app-specific passwords outright. For other providers, security events such as a forced sign out or a policy change by an administrator can also end a connection. After any of these, check that events created in the last day actually appear where they should.

A new calendar inside an existing account. Starting a side project calendar or accepting a shared team calendar changes the count. On services priced by calendar, this can move the plan to the next tier, or the new calendar may simply not be included until it is added by hand.

A notice from the provider. Price revisions, ownership changes, and end of service announcements usually arrive by email first. Reading them against question 6 takes a few minutes and avoids discovering the change on the day the mechanism stops.

A new device. Replacing a phone or adding a work laptop matters most for setups combined on the device, since the merged view does not follow automatically.

Keeping the written inventory from the first pass makes each of these checks short. Only the line that changed needs a new answer.

What to change first

Write the inventory, then connect the work account to one candidate during a trial before comparing anything else. After the route is settled, what separates one app from another is how quickly events get into the correct calendar and how a full day gets assembled, which is where entering events and compared with other calendars are useful, and where a desktop calendar such as Caltimate concentrates.
