Cron (Notion Calendar) not working: what to check, in order

Something in Notion Calendar has stopped behaving. A calendar is missing, an alert never fired, the join button opens the wrong call, or a Notion task refuses to move on the grid. The instinct is to reinstall the app or disconnect every account and start again. That usually costs twenty minutes and fixes nothing, because most of these problems sit in a setting, an account policy owned by someone else, or a feature the app does not have.

The faster route is to find the layer first and search only inside it. What follows is that order, with each step tied to what Notion's own help center says.

Sort the symptom before touching settings

The same symptom can come from very different places. "An event is missing" might mean the account never finished connecting, the calendar is hidden, the calendar was subscribed somewhere the app cannot see, or two copies were merged into one. Each has a different fix.

Work top down. A connection that is half finished at the sign in layer makes every layer below it look broken, so there is no point debugging notifications until sign in is clean.

Before anything else, confirm the basics. The desktop app supports macOS 11 and later. If the Mac is older, the web app at calendar.notion.so is the supported path.

Step 1: sign in and authorization

Google sign in fails with a generic error. The help center suggests trying again in a different browser, or choosing Sign into another account and entering the same credentials. A browser already signed in to a different Google account can pick the wrong one, which a second browser avoids.

A work Google account returns an authorization error. This is often not fixable from the user side. The organization's Google Workspace admin may not have approved Notion Calendar yet. The documented fix is on the admin's end: in the Google Admin console, go to Security, then Access and data control, then API controls, then Manage Google services, add Notion Calendar as a configured app, and set its access to Trusted. Sending that exact path to IT tends to get a faster answer than describing the error.

iCloud will not connect. Apple does not allow third party calendars to use the Apple Account password. The connection needs an app specific password created at account.apple.com.

The help center adds that the password has four groups of four letters, in the form abcd-efgh-ijkl-mnop. If what was pasted looks different, it is the wrong password.

A Microsoft 365 work account will not connect. If the organization restricts third party app access, an IT admin has to approve Notion Calendar before the account can be added.

One more item belongs in this layer. The whole app is tied to the single Notion account used at signup. If access to that Notion account is lost, access to the calendar goes with it, and changing the linked account requires a request form rather than a settings toggle.

Step 2: a calendar or some events are missing

With sign in confirmed, missing events are almost always a visibility question.

Start with the eye icon beside each calendar in the left sidebar. A struck through icon means the calendar is hidden and its events are removed from view. It takes one click to hide, so it is worth checking before anything more involved.

Next, count the connected calendars. The help center notes that adding more than five may not be possible, because performance can be affected past that number. Work, personal, family, a team calendar, and a client calendar reach that point quickly.

Subscribed calendars behave differently. Notion Calendar cannot subscribe to a new calendar from inside the app. A holiday feed, a sports schedule, or an ICS link from a school needs to be subscribed in Google Calendar, after which it appears in Notion Calendar. If the count of events looks lower than in Google Calendar, check for merging. When the same event exists on more than one connected calendar with the same event ID, the app shows it once. To RSVP or edit from one specific calendar, the help center says to hide the others first, so only the intended calendar is visible.

Finally, look at where new events are going. Events that seem to vanish right after creation are often landing in a different default calendar. Default calendars are set under Settings, Calendar accounts, and a Notion database can be the default. If a database is selected, new events will not appear in Google Calendar at all.

Step 3: notifications and the menu bar

No desktop notifications. Check macOS first. Open System Settings, then Notifications, and confirm Notion Calendar is allowed. For the web app, the browser has to allow notifications from calendar.notion.so, and the app's own notification settings live at calendar.notion.so/settings/notifications.

Reminder timing is wrong. Default event reminders are not set inside Notion Calendar. The settings documentation points to the Google Calendar notification settings for each connected calendar. Searching the app for that option will not find it.

The menu bar icon is missing. On a crowded menu bar the icon can be pushed out of view. The help center suggests holding Command and dragging the icon closer to the clock. If it still does not show, turning off the event title in Settings, Menu bar can make room for the icon.

One calendar stopped alerting. This one is easy to miss. Turning off Events included in menu bar for a calendar also turns off upcoming meeting notifications for that calendar. Tidying the menu bar can silently remove the alerts that mattered.

On phones, the help center states that notifications cannot currently be marked as time sensitive, so Focus modes may hold them back.

Step 4: meeting links

Google Meet is not offered. Meet comes with the Google account and needs no setup. If it is absent, the Workspace may not have Meet video calling enabled, which is an admin setting.

Zoom will not authorize. Go to Settings, Conferencing, find Zoom, and choose Configure. In the browser window that opens, confirm the correct Zoom account is signed in before choosing Authorize. If authorization still fails, a Zoom admin can pre approve Notion Calendar in the Zoom App Marketplace. For problems joining calls after a successful connection, the documented step is to disconnect Zoom and connect it again.

The join button opens an old or unexpected link. When an event has a conferencing link in both the description and the conferencing field, the app uses the one in the description. Forwarded invites often carry an outdated link in the description, so check there.

Two behaviors are by design. Video is off by default when joining a Zoom call from the app. FaceTime is not supported as a conferencing option.

Step 5: Notion databases

The database cannot be added. It needs a date property. Databases can only be added from the desktop or web app, and the limit is 20.

Some rows are missing. Can view access is enough to show a database, but an individual page with its own permissions may stay hidden even when the rest is visible. If there are several date properties, check which one is set as primary, because rows without a value in that property will not land on the grid.

Dates will not move. Dates generated by a formula, created time, or last edited time are read only in Notion Calendar. Editing other rows also requires Can edit content access.

Deadlines do not show on the phone's calendar app. Database items are viewable only inside Notion Calendar, not in Google or iCloud calendars, so any other app reading those accounts will not see them.

Three symptoms that look like sync bugs

A few problems get reported as sync failures when the documentation describes them as expected behavior.

Events appear at the wrong hour. Notion Calendar reads the primary time zone from Google Calendar once, during first setup. From then on, a time zone change in one app is not carried to the other. After travel, or after changing the time zone in Google Calendar, the two can disagree. Right click the time zone column in Notion Calendar and compare it with the Google Calendar setting before assuming events have been corrupted.

An event cannot be edited on the phone. The mobile app only allows editing events that were created on the phone and where the user is the organizer. An event created on the Mac, or an invite from someone else, will open read only on the phone even though sync is working. Make the change on desktop or web.

Focus time or out of office is missing from the event type menu. These event types are available only for work or school accounts managed by Google Workspace, and they cannot be created on the phone at all. A personal Gmail account, iCloud, or Outlook calendar will not offer them. Nothing is wrong with the connection.

A related check applies to phone widgets. Calendars can be excluded from the home screen and lock screen widgets in the mobile app's settings, so a widget that shows fewer events than the app may simply have a calendar turned off there.

Before disconnecting an account

Disconnecting and reconnecting is the last resort in every layer. Events are stored in the Google, iCloud, or Outlook account, so they survive. Settings attached to the account do not always come back the way they were. Write these down first:

• The default calendar for new events
• The default conferencing tool for each calendar
• The default Notion workspace chosen for each account
• Any auto blocking rules from one calendar to another
• Calendars excluded from the menu bar

Auto blocking needs particular care. The help center says that undoing auto blocking for a calendar the user no longer has access to currently requires contacting support. Remove the rule before disconnecting an account that is going away.

When the fix is not in settings

If all five layers check out and the problem remains, it may be a limit rather than a fault. The help center lists several directly: travel time between events is not supported, Outlook calendars are not yet available on mobile, and the phone app cannot search events, create scheduling links, or show week and month views.

No setting changes those. The decision is whether to work around the gap by hand or add a tool that covers it. For travel, the manual version is creating a separate travel event before every in person meeting. What to change first

Count how many problems survived the five steps. If it is one, handle it with a manual habit and keep the current setup. If two or more point at the same gap, such as travel or entering events away from the keyboard, compare the options on Compared with other calendars before spending another evening in settings.
